Summary

Meetings are an essential component of daily business and an important part of the job, but since March 2020 they have also become the dreaded component of almost everyone’s life because we don’t know how to deal with them virtually. In the virtual world we forget all the critical issues we learned before. This session looks at the essential aspects of making meetings effective, short and the point, and how to manage them in a virtual environment.

What would it be worth to you if all meetings were as productive as that one meeting you attended that demanded and acknowledged your active participation and came to a positive and productive conclusion? This session will help attendees to not only facilitate effective meetings with a positive outcome but to help them control meetings they aren’t managing to ensure everyone gets to the point. 

Goals & Delivery

Session IVa – Meeting Basics

  • Reflect on the reasons you dislike attending certain meetings
  • Reflect on the reasons why you liked one specific meeting
  • Learn to prepare & facilitate an effective meeting:
    • Accept that the time preparing a good meeting equal’s the duration of the meeting
    • Understand that each meeting needs a clear purpose or objective
    • Dare to invite only the people that you need
    • Learn about what an acceptable length in the virtual world
    • Learn to align purpose, content and the ‘how’ with guest speakers
    • Make meetings inspiring or motivating
    • Learn to facilitate and welcome the outcomes

Session IVb – Skills in the Meeting

  • Balancing verbal and nonverbal messages
  • Practice nonverbal impact skills to reduce nervousness and to engage the attention of listeners
  • Make content clearer and more memorable
  • Developing and organizing presentation content
  • Create an audience profile and set presentation parameters
  • Learn the benefits of rehearsing, adhering to a timeframe and speaking from notes
  • Using visual aids and support materials
  • Describe the purpose of visual aids and support materials and identify tips for effective composition of visual content and speaker aids
  • Handling questions live and in the chat box
  • Be able to anticipate, avoid and handle technical problems
